Senior Executive / Assistant Manager, Events

Responsibilities
1) Events Management
- Lead the team in planning, organizing and execution of University, College and School levels events in virtual, hybrid or physical formats with domain owners
- Manage the entire event process: including conceptualization, planning, marketing, operations, and logistics across various event profiles
- Develop event specifications and outcomes in consultation with domain owners, including anticipating and planning for possible scenarios, guiding the domain owners when necessary
- Plan and acquire procurements for fulfilment of event logistical needs
- Plan and complete manpower arrangements
- Setting up of the NTU virtual events platform and when necessary, assume the role of digital event producer
- Coordinate event programming when necessary, including entertainment, acquiring speakers, performers etc and drafting of emcee scripts, if required
- Design and manage the registration process and seating plan, when necessary
- Prepare event prompts to participants, including payment advice for chargeable events
- Handle event-related enquiries, including overseeing incoming emails to role-based email accounts
2) Events Publicity
- Work with designers on creation of key visuals and launch of suitable publicity materials for large events
- Create publicity content (including copywriting) and customized images for NTU Events webpage including set-up of customised online event registration
- Prepare personalized invitations to specific groups of participants, when necessary
3) Procurement/ ITQ preparation and other logistical work
- Prepare procurement/ ITQ specifications of event requirements, including posting and analysis of evaluations and justification for awarding of vendors
- Liaise and coordinate with venue management, caterers, contractors on equipment and logistics hire/ to support event requirements
- Check and facilitate bill arrangements to vendors and prepare post-event statements of accounts
- Track funds disbursements to vendors, ensure financial arrangements are made in a timely manner
4) Other responsibilities
- Provide secretariat duties including prepare agendas, write minutes and other logistical tasks events
- Other secondary administrative roles and responsibilities supporting the operations of Events Office as assigned
Requirements
- Degree from a recognized university
- At least 5 years of relevant working experience in events management, preferably in an academic sector
- Experience in producing / directing virtual and/or hybrid events
- Knowledge in video production, HTML5, CSS, Sitefinity preferred
- Good interpersonal, communication and writing skills
- Strong analytical and problem-solving skills, planning and organizational abilities, sound knowledge of IT tools and good networking skills
- Ability to prioritise and plan work activities in an organised manner, able to multi-task and work under pressure, track and deliver assignments on schedule
- Attention to detail with high-level of accuracy and ability to demonstrate sound work ethics and discretion
- Self-motivated, resourceful and flexibility to adjust and react to changing priorities
- Good attitude with ability to work independently as well as being a responsible and good team player who is creative, resourceful, and resilient
