What you’ll do

You will be reporting to the General Manager.
In addition to being organized with a strong attention to detail, you possess the strong
business
judgment to manage a variety of simultaneous projects, and the communication skills
needed to
interact with a variety of people across job functions and levels. You anticipate the needs of
the
General Manager and the rest of the team to help them stay focused by resolving
operational and
administrative issues before they arise.
The following are the responsibilities:
• Prioritizing inquiries and recommending an appropriate course of action for the General
Manager and various Committees; then following-up appropriately to keep them well
informed of upcoming commitments
• Scheduling meetings for the General Manager and the Committees
• Supporting operations activities including (1) updating newsletters, (2) maintaining
pipelines
and databases, (3) onboarding new stakeholders (digital signing of the charter and payment
of invoice), (4) ensuring that the corporate secretary has all of the necessary documentation
(i.e., the team that provides bookkeeping, accounting, tax filing, payroll services, etc.)
• Managing the general email inbox and responding to common general enquiries
• Serve as the manager of small ad hoc projects (e.g., organizing virtual and in-person
member
events, selecting vendors for ad hoc purchases of services and supplies necessary for the
operation of the network, etc. Maintain a positive, empathetic, and professional attitude
toward customers at all times
• Resolve customers’ concerns and answer customers’ questions to the best of your best
ability
• Attract customers by promoting the product and company positively, answering questions
and addressing concerns as they arise
• Prepare product and customer reports by gathering data collected during customer
interactions
• Provide feedback on the efficiency of the customer service process
• Manage a team of junior customer service representatives
• Ensure customer satisfaction and provide professional customer support
Ultimately, we are looking for highly driven candidates who can develop and implement
growth
opportunities in existing and new markets.

Requirements
• You have at least 3 years’ experience in an executive or administrative assistant role, with
a
preference for candidates that have worked directly with senior management
• Exceptional organizational skills, superb attention to detail, and timely responsiveness to
requests is a must
• You are able to prioritize and multitask in a fast-paced environment while maintaining a
commitment to deadlines
• You have the professional polish including high-quality written and verbal communication
skills, and the ability to demonstrate grace and composure under pressure
• Integrity and discretion in handling confidential information
• You are comfortable working with / picking up digital platforms such as GSuite, Office365,
AirTable, DocuSign, DocSend, and ActiveCampaign
